Role: Events Administrator

 

Reporting to: Head of Events

 

Location: Preston/Hybrid Working

 

Hours: 35 hours per week. Mon – Fri

 

 

The Role:

 

We have an exciting opportunity for someone to join our team and support our events team as am Events Administrator. The main purpose of the role is to support the events team and handle the administrative tasks associated with our events and exhibitions. Duties will include handling client enquiries over the phone and email, efficiently communicating with customers and clients. You will be supporting the Head of Events and Events Manager as well as liaising with various departments across the business including event operations, event sales and event marketing.

 

Duties & Responsibilities:

  • Providing administrative support to the events team, sponsorship team, and Head of Events and Sponsorship across all events as required
  • Coordinating multiple events and exhibitions with the events team
  • Liaising and working in relation with other departments about customer or client needs or requirements
  • Efficiently communicating with customers or clients over the phone and email, responding to queries and offering prompt and helpful customer service
  • Scheduling and attending meetings. Composing agendas/minutes and taking notes and actions then circulating to all attendees
  • Collating event packs and materials and arranging transportation of event equipment; and proofreading event materials
  • Implementing systems to record all event data to be used for event marketing and planning, including research activity to audit and inform future event decisions
  • Liaising with customers regarding media packages
  • Supporting the Event Manager in managing the guestlist and table sales for events
  • Providing regular reports and updates
  • Supporting the sales team with information and leads using our CRM (Salesforce)
  • Overseeing and processing bookings of speaker slots across the events
  • Organising and administration of external steering committee meetings throughout the year
  • Processing invoices, payments and related financial documents as necessary
  • Supporting the business with general admin duties such as circulating post and answering the phone and emails

 

About You:

 

  • Excellent written and verbal communication skills
  • Great Microsoft Office skills, including Outlook, Word, and Excel (i.e., spreadsheets, manipulation of data, formulas, importing and exporting of files)
  • Strong organisational and administration skills
  • Strong analytical and problem-solving skills
  • Strong detail focus
  • Takes ownership for issues and problems
  • Works collaboratively with colleagues to deliver objectives
